Getting Started in Akute

Welcome to Akute! This guide includes the most important setup steps and training resources to help you and your team feel confident using the platform. Each section below links to a detailed walkthrough or video tutorial.


1. Provider Availability & Appointment Setup

Making Yourself Available for Appointments

Learn how to set your regular clinic hours and block off personal or one-off busy times. You can add multiple availability windows per day (for example, 9–12 and 1–5) and mark any slot as “busy” so patients can’t book over it.

Custom Scheduling Options

Duration, frequency, and scheduling notice are completely customizable. Set unique time lengths for appointment types and fine-tune when patients can book.

If you’d like new or non-member patients to book appointments, review this article to enable self-scheduling for unregistered users.


2. Appointment Types & Patient Forms

Creating Custom Forms

Build your own digital intake and screening forms from scratch or from pre-built templates. Certain fields like medications and allergies can automatically add to the patient chart.

Adding Forms to Appointment Emails

Attach your forms directly to appointment confirmation emails so patients can complete them in advance.

Create and edit appointment types, set duration, availability, and attach form bundles so patients receive the correct forms for their visit.


3. Task & Fax Management

Task Filtering

Use personal and clinic-wide filters to organize your inbox and stay on top of open tasks, lab reports, or faxes.

4. Templates & Macros

Creating Note Templates

Build and share templates for visit notes, SOAP notes, or other documentation. Templates can be private to you or shared with your team.

Insert quick text shortcuts for common phrases or sections you use often to save time charting.


5. Communication & Messaging

Setting Up Auto-Replies for SMS Texts

Create automatic responses to patient texts, both during business hours and after hours, so patients know when to expect a reply.

Setting Up Auto-Replies for Secure Messages

Send automatic replies through the portal messaging system with custom business or after-hour messages.

Patient Portal Overview for Providers

Patients can access the portal on iOS, Android, or web to view labs, vitals, and notes marked as Viewable by Patient, and send secure messages (for Growth Plan and above). Labs appear automatically when available, and you can invite patients individually or in bulk.

6. E-Prescribe & EPCS Setup

Identity Proofing (IDP) Requirement

All prescribers must complete IDP before using e-prescribe. This quick Experian verification requires your SSN, credit card, and photo ID for security compliance.

EPCS (Controlled Substances) Setup & Guide

To enable controlled substance prescribing, email support@akutehealth.com ($15/mo). Once approved, complete IDP, set up DUO two-factor authentication, and create your secure PIN to begin prescribing.


7. Integrations Setup

Google Calendar Integration

Connect your Google Calendar so your external events automatically block off time in Akute.

Zoom Integration

Enable Zoom for telehealth visits directly within Akute and select it as your video option when scheduling.

Spruce Integration

Integrate Spruce for secure messaging by adding your Spruce API key in the Integrations tab. You must be on Akute's Growth plan or above and on Spruce's Communicator Plan.

Hint Integration

If you use Hint for memberships, you can connect your Hint account directly from the Integrations tab.


8. Team Management & Permissions

Adding New Team Members

Invite new users from Settings → Organization, assign permissions, and send them an email invite to get started.

Editing Permissions

Admins can update or review team member permissions anytime from the Team Members section under Organization settings.


9. Tips & Tricks

Slash Commands

Use simple shortcuts like /vital, /dx, or /rx to pull structured chart data (such as vitals or problems) directly into your notes. You can also prepopulate templates with slash commands for faster documentation.

Three-Column View

Open the side panel while writing notes to view other chart sections (problems, meds, allergies, etc.) without losing your place. Collapse the navbar for even more workspace.

Copy-Forward Notes

Quickly duplicate any previous note by selecting Copy Forward from the three-dot menu. This helps streamline follow-up visits and repeat documentation.

Keyboard Shortcuts

You can use keyboard shortcuts to navigate through Akute faster and with fewer clicks.
