Signing and Finalizing Documents


The Sign and Finalize feature allows you to annotate, sign, and finalize documents directly within Akute. This is useful for completing documents such as home health orders, PT orders, or other forms  received by fax that require a signature.

With this feature, you can add signatures, text, or dates to a document and either save it to the patient chart or finalize and fax it to a recipient. This allows you to complete and return documents without needing external software.

This feature is available in both:

  • The Global Documents Inbox
  • The Documents section within a patient chart

Accessing Sign and Finalize

To access this feature:

  1. Open a document from either the Global Inbox or the Documents section of a patient chart.
  2. Click the three-dot menu icon in the upper right corner.
  3. Select Sign & Finalize.

This will open the document annotation editor.


Annotating a Document

Once the annotation editor opens, you will see several tools available at the top of the screen.

These allow you to add:

  • Signature
  • Text
  • Date

You can click anywhere on the document to place the annotation.

Note: Your signature will automatically use the signature saved under Settings → Profile.


Adding a Signature

To add your signature:

  1. Click the signature icon.
  2. Click and drag the signature to the location on the document where it should appear.

Your saved profile signature will be placed onto the document.


Adding Text

To add text:

  1. Click the text icon.
  2. Click and drag the text where you want it to appear on the document.
  3. Enter the text

This is useful for filling in fields, adding notes, or completing form sections.


Adding a Date

To add the current date:

  1. Click the date icon.
  2. Click and drag the date where you want it to appear.

The current date will be inserted onto the document.


Saving or Finalizing the Document

After annotating the document, you have three options:

Save as Draft

Saves the annotated document without finalizing it.

Note: If you annotate a document and select Save as Draft, the annotations will not appear in the document preview. However, when you open the draft, your annotations will still be present and can be edited. The annotations will appear in the preview once the document is Finalized or Finalized & Faxed.


Finalize

Finalizes the document and saves it to the patient chart.

Finalize & Fax

Finalizes the document and immediately sends it via fax to the selected recipient. The finalized document will be saved to the Global Documents Inbox or the Documents section of the patient chart.



Common Use Cases

The Sign and Finalize feature is commonly used for:

  • Signing home health orders
  • Completing physical therapy orders
  • Signing external forms
  • Annotating and returning faxed documents

This allows clinics to complete documents entirely within Akute without downloading or using third-party signing tools.
