Sending Automations

Now that you’ve created your cohort and message template, you’re ready to automate your outreach. Automations let you schedule and send your message template to the patients in your cohort via email, SMS, or secure portal message—helping you streamline communication without manual follow-up.

Step 3: Send an Automation (Bulk Messaging)

Now that your cohort and message template are ready, it’s time to send your message:

1. Go to Automations under Engage in the navigation bar.

2. Click + New Automation.

3. Name your automation.

4. Choose:

• Cohort (select from your saved cohorts)

• Message Template (select from your saved message templates)

• Contact Method (Choose One):

• Akute Secure Portal Messaging

• SMS

• Email

5. Choose Start Date & Time

• Under the “Frequencies” section, click the calendar icon.

• Select the desired start date and time (times are in your local timezone).

6. Set the Recurrence

• Click the Recurring Schedule dropdown to open recurrence options.

• Choose how often you want the automation to repeat (e.g. every 1 week).

• Select the specific day(s) of the week it should run.

• Set an end condition:

• Never (repeats indefinitely)

• On a specific date

• After a set number of occurrences

• If you do not want the automation to recur, check the “Not Auto Recurring” box.

• Once you’ve configured the timing, click Done to save your schedule.

7. Preview your message 

8. Click Save & Run Now if you’d like to send your message immediately or click Create 

Automation if you would like your automation to simply run at your desired start date, 

time, and frequency


On the Automation Dashboard, you’ll find key information about how your automation performed:

• Total Sent shows how many messages were triggered

• Success counts how many were delivered successfully

• Failed indicates the number of delivery issues (click the red number to view details)

You’ll also see:

• Last run time

• Scheduled frequency (if applicable)

• Cohorts tied to the automation

• A toggle to activate/deactivate the automation

• A “Run automation now” option to manually trigger the automation

This view helps you track performance and troubleshoot issues quickly, especially if you’re testing new automations or sending time-sensitive announcements.
