Self-scheduling overview

Self-scheduling is a useful feature that allows patients to schedule their appointments without the need to call, message, or visit the clinic. This feature is beneficial to both the provider and the patient, as it saves time for both parties, and patients do not need to contact your practice during business hours to schedule appointments. In this article, we will explore how to use the self-scheduling feature provided by Akute Health.

Sharing Your Self-Scheduling Website

Your self-scheduling website is yours to use however you see fit. Typically, practices add this as a link and/or button on their website, as well as share the link with current and prospective patients in emails and text messages.

Please make sure to use the entire link! For example, if your domain name is familymedicine.com, your self-scheduling website will be https://familymedicine.akutehealth.com/appointments. It's important to include the https:// at the beginning, and the /appointments at the end.

Self-Scheduling Settings

You have control over whether unregistered patients, as well as patients with pending memberships, are allowed to self-schedule. You'll want to make sure that your self-scheduling settings are enabled correctly, both on an organization level as well as for each appointment type.

To enable self-scheduling for unregistered patients and pending memberships on an organization level, navigate to Settings --> Organization and scroll down to "Patient Self-Scheduling."

To customize settings for each appointment type, navigate to Settings --> Appointment Types and either create a new appointment type or click to edit an existing appointment type. Scroll down to the "Scheduling Options" section, and you'll be able to indicate whether registered and/or unregistered patients are allowed to self-schedule for that appointment type.

Self-Schedule Emails

You can send a custom email, specific to each appointment type, to patients who self-schedule.

To customize the email for each appointment type, navigate to Settings --> Appointment Types and either create a new appointment type or click to edit an existing appointment type. Scroll down to the "Patient Communication" section and fill out the "Custom Patient Email" section.

Feel free to include links for your patients to visit! Many practices link to their Akute custom forms in this section.

For appointments without video visits, you can choose whether to automatically send an email to the patient upon self-scheduling. For appointments with video visits, an email is required to be sent, and will include the video URL and a calendar invite.
