Setting Appointment Location for Multi-Location Clinics

If your practice has multiple locations, you can be upgraded to our multi-location plan to schedule appointments & send faxes/orders based on the location. Please contact support to get access to our multi-location enhancements.

When scheduling appointments a default location will be set based on certain parameters. Whomever is scheduling the appointment can also change the location to whichever is the correct location.

There are 2 ways you can set the default location for appointments:


Patient-Based Default Location

This is the default option for multi-location clinics. When scheduling an appointment, the default location will be set to the patient's primary location.

You can see/edit the patient's primary location in the Demographics section of the patient chart. You can also change the location of the appointment if the patient is traveling and needs to be seen at a location other than their default location (note: this does not change the default location of the patient).

Provider-Based Default Location

When scheduling an appointment, the default location will be set to the provider's primary location for that specific day.

This is very useful for clinics where the providers change location based on the specific day. E.g. Mondays at Location 1, Tuesdays at Location 2, etc.

You can see/edit the provider's primary location in Settings->Availability. Make sure to choose the practitioner you want to edit and then add a location for each day in which the provider is available.

Creating an Appointment

When making an appointment, you can see and edit the location right under the practitioner of the appointment.

If you change the Location in the appointment to be something other than the default, you'll see a warning show up.

Finally, you can edit your default Location settings in the Settings->Organization page under the Scheduling section. See screenshot below for the option to review.

Set the default location method

Patients will receive their appointment email and sms reminders based on the location set in the appointment. If an appointment's location is updated after the appointment is already created, we will prompt you that an sms notification update will be sent to the patient so they are aware.
